Lean is no longer the propriety process and quality management mantra for manufacturing units. The success of Lean management in manufacturing units was bound to percolate to non-manufacturing processes sooner or later. Though Lean processes have been around for quite some time along with other quality processes such as Six Sigma, the interest in Lean Office has been recent due to the increase in the services sector through out the globe.

Imagine a river. Then visualize all that the river carries with it. Apart from the water and fish, there are other elements which form the river. Processes are very much like a river. They flow in a natural direction and carry information with them from one point to another. The process of Value Stream Mapping is a by product of the Lean Manufacturing process pioneered by Toyota and the core fundamental is to identify the areas of waste which can be avoided within a manufacturing or office process.

The word Kaizen means continuous improvement. Implementation of a quality process does not mean that there is no need for any further improvements of changes. In fact, most quality processes are reviewed at frequent intervals and findings are then implemented as changed processes. This review process which is geared to bring about a positive change in the total process, when done formally with all concerned personnel, is known as a Kaizen Event.

5s is another well known business process management principles and quality control certification and has got extensive support in the manufacturing sector. 5S works mostly towards removal of wasteful processes and products within an organization, and has been derived from the Japanese words seiri, seiton, seiso, seiketsu, and shitsuke.

Value Stream Mapping (VSM) is a proven tool. Well suited for a broad range of industries and processes, VSM is ideal for creating positive organizational changes, developing efficient future states, and producing system-wide benefits in cost, quality, and flexibility. In short, it helps eliminate waste.

Kaizen is a proven performance improvement tool. Adopted from modern Japanese manufacturers, like Toyota, Kaizen generates breakthrough improvements quickly, without huge capital investments and/or extensive commitments of employ time. Kaizen is an efficient, effective technique for producing change in manufacturing operations.

Variety distinguishes manufacturers from non-manufacturers. Manufacturers dislike too much variety. They want to stamp out products quickly and efficiently because they’re focused on fulfilling customer demand. The more variety they have, the more production slows. The more production slows, the longer it takes for the manufacturer’s products to reach the customer.

It is true that the so-called ‘lean methods’ and other kaizen-style management practices initially proved their worth in the manufacturing sector. However, they are equally applicable to the service sector, provided some small adjustments are made.

Kaizen is a Japanese management tradition that roughly translates to ‘becoming better through change’. It’s a management philosophy that believes in continuous vigilance regarding all the aspects of a production system, and making changes based on this observation so that the system always remains at the peak of its productive efficiency.

The lean office system cuts down human effort, investment and working hours to alter how work is done, and thus increases output. Organizations which effectively adopt lean office techniques boost their performance hugely and raise the production per hour worked.

It is a paper and pencil tool that helps to visualize and figure out the flow of materials and information as a product or service courses through the value stream. It helps to understand and improve work processes using the tools and techniques of Lean Manufacturing - the ultimate philosophy of efficiency.
